How to Choose the Right Chauffeur Dispatch Software

A 10-step evaluation framework for small operators buying dispatch software — questions to ask and traps to avoid.

The 10-step evaluation

1. Right-size the platform

Match software to your fleet size. Enterprise platforms will drown a 10-car operation in features and fees.

2. Total cost of ownership over 3 years

Include subscription, per-booking fees, hosting, onboarding, support hours, integrations. See our subscription vs one-time comparison.

3. Contract flexibility

Monthly, cancel any time. Any lock-in past 30 days is a red flag for a small operator.

4. Data ownership

Can you export every customer, booking, invoice and driver record at any time? If not, walk.

5. Driver app quality

Download it. Test it. Ask a driver to test it. Anything slower than 3 taps to accept a job fails.

6. Booking website

Most vendors sell dispatch and forget booking. You need both, or customers stay on the phone.

7. Payments & pre-auth

Stripe/Adyen with pre-auth is non-negotiable for airport transfers and hourly work.

8. Corporate accounts

Can you invoice monthly with cost centres and net-14 terms without CSV workarounds?

9. Support

Ask for a real-life response time from their WhatsApp/phone line before signing.

10. Reference calls

Ask to speak with 2 operators of your size. Any vendor that can't provide them isn't ready for you.

Red flags

  • "We'll build that for you" (custom = slow + expensive)
  • Setup fees over £2,000 for a small operator
  • Support only via ticket system
  • No native mobile driver app
  • Roadmap features charged as add-ons
